They have to make sure that:
  • The organisation follows the MAG Standards
  • The Authorised Signatory(s) submit pass applications correctly and accurately
  • The Authorised Signatory(s) manage passes securely
  • Security risks are controlled across the organisation

They operate at an organisation-wide level, not at individual application level.

  • Making sure the organisation complies with MAG’s ID Pass Scheme
  • Overseeing Authorised Signatories

  • Making sure passes are managed safely, legally, and securely

A Nominated Officer is responsible for:
  • Overall compliance
    They ensure their organisation meets all requirements of the MAG Standard
  • Managing Authorised Signatory’s
    They appoint, oversee, and ensure Authorised Signatory’s are competent and compliant
  • Security leadership
    They promote a strong security culture and ensure their colleagues understand their responsibilities
  • Pass control and oversight
    They ensure Authorised Signatory’s only issue ID passes when justified and returned when no longer required
  • Audit and compliance
    They ensure full cooperation with audits and act on any findings
  • Risk and incident management
    They report lost, compromised, or misused passes and remove access if someone is no longer suitable

What authority does the Nominated Officer need?

They must:
  • Be a senior individual within their organisation
  • Have the authority to:
    • Allocate resources
    • Appoint Authorised Signatories
    • Enforce security decisions (including pass removal)

Can a Nominated Officer also be an Authorised Signatory?

No - they can't hold both roles. This ensures separation between:
  • Oversight (Nominated Officer)
  • Application processing (Authorised Signatory)

Do they need to process ID pass applications?

No - they don't typically submit or process individual applications.

Instead, they:
  • Oversee the system
  • Ensure Authorised Signatories are completing applications accurately and correctly

What is the Nominated Officer’s role in screening and vetting?

They are responsible for ensuring their organisation has:
  • Robust employment screening processes
  • Proper background checks for applicants

They don't complete checks themselves, but ensure they are done correctly.

What happens if an organisation does not have a Nominated Officer?

If an organisation does not have an appointed Nominated Officer then:
  • New ID applications may not be accepted
  • Existing ID passes may be suspended

What is the Nominated Officer’s responsibility for ID pass lifecycle management?
